Quick answer
Refund online payments back to the original method, refund cash-on-delivery customers to their UPI ID or bank, and offer store credit as an option, not a trap. If you are GST-registered, a refunded or returned sale usually needs a credit note against the original invoice. Keep every refund linked to its order, and ask a CA about time limits.
A good refund process has two sides: the customer gets their money back quickly by a sensible method, and your records show exactly what was refunded and why, including the GST side. Refund online payments back to the original method, refund cash-on-delivery customers to their UPI ID or bank account, and offer store credit as a choice rather than forcing it. If you are GST-registered, a returned or cancelled sale that already had a tax invoice usually needs a credit note. This guide explains each part in plain words.
GST points here are general information, not tax advice. Rules and time limits change, so confirm how they apply to you with a chartered accountant.
What refund methods can I offer?
| Method | Best for | Things to know |
|---|---|---|
| Back to the original payment | Orders paid online by UPI, card, net banking or wallet | Cleanest for records; takes a few working days to reach the customer |
| UPI transfer | Cash-on-delivery orders | You need the customer's UPI ID; record the UTR as reference |
| Bank transfer | COD orders where UPI is not possible | Needs account details; record the reference |
| Cash | Store pickup or local returns | Get a signature or written acknowledgement |
| Store credit | Customers happy to shop again | Should be offered, not forced, unless your policy says so clearly |
How do refunds to UPI and cards work?
When a customer paid through your payment gateway, the simplest refund is back to the same method. In UpMinutes, open the return, check the amount and choose Back to the original payment (Razorpay). The refund is sent at once and typically reaches the customer in 5 to 7 working days. Tell customers this timeline in your refund email and policy, because many will ask on day two.
Partial refunds work the same way: refund only the item returned, or the price difference if you agreed a discount for a minor defect.
How do I refund a cash-on-delivery customer?
COD refunds are where many sellers get stuck, because there is no card or UPI payment to reverse. The usual approach is to pay the customer directly by UPI or bank transfer. In UpMinutes, COD customers give their UPI ID on the return form, so you have it ready. Pay them from your bank or UPI app, then record the refund in the return with the method and the UTR or reference number. That reference is your proof if the customer later says they were not paid.
Check the UPI ID carefully, and if the amount is large, consider a small test transfer first. Our guide to COD cash reconciliation covers matching courier remittances to orders as well.
When should I use store credit?
Store credit keeps the money in your business and is quicker than a bank refund, so many customers are happy with it, especially for size exchanges that are out of stock. But forcing store credit on someone who wants their money back creates bad reviews and, in some cases, complaints. Fair practice:
- offer a choice between refund and store credit
- consider a small sweetener for choosing credit, such as an extra ₹100
- if your policy is credit-only for certain items, say so clearly before purchase
In UpMinutes, store credit is issued as a gift card emailed to the customer, spent in parts on their next orders. Explain your store credit options in your returns and exchange policy.
What is a credit note in GST?
A credit note is a document a GST-registered supplier issues to reduce the value or tax of an invoice already issued, for example when goods are returned, an order is cancelled after invoicing, or the price is reduced after sale. It refers to the original invoice, shows the reduced value and the GST being reversed, and is reported in your GST returns so you are not paying tax on a sale that did not stand.
Points to discuss with your CA:
- which refunds and cancellations need a credit note in your case
- the format and numbering of credit notes
- the time limit for issuing and declaring credit notes against an invoice
- how marketplace returns differ from returns on your own website, if you sell on both
UpMinutes creates a numbered GST invoice for each order and gives you tax reports. It does not issue GST credit notes itself, so many sellers prepare credit notes in their accounting software or with their accountant, using the refund records from the store. Our guide to GST basics for online sellers covers invoices and returns more broadly.
What about gift cards and refunds?
Gift cards are treated differently from products. In UpMinutes, no GST is charged on the sale of a gift card itself; GST applies when the card is spent on products. If a customer returns a product bought with a gift card, refunding to store credit is often the neatest option. Ask your CA how to treat this in your records. See gift cards and GST for more.
What should my refund policy say?
Your cancellation and refund policy page is the promise customers rely on, and payment gateways look for it before activating your account. It should cover, in plain words: which items can be returned and which cannot; how many days after delivery a return can be requested; the condition items must be in; who pays return shipping; refund methods for prepaid and COD orders; how long refunds take; and how cancellations before dispatch are handled. Every UpMinutes store comes with policy pages written for you that use your return window, which you can edit to match how you work. Our guide to store policies required in India explains each page.
How fast should I refund?
Speed builds trust. A good standard:
- acknowledge a return request within a day
- refund within a day or two of receiving the item back and checking it
- for cancellations before dispatch, refund the same day
- email the customer at each step, with the expected time to reach their account
UpMinutes emails the customer when a return is approved, received and refunded, so they are never left wondering.
How do I keep refund records straight?
- Link every refund to its order and invoice number.
- Record the method and reference, such as the gateway refund ID or UTR.
- Note the reason: damaged, wrong item, size, changed mind, not delivered.
- Put returned stock back only after inspecting it; mark damaged items separately.
- Export a monthly report for your accountant, with refunds alongside sales and tax.
- Look at reasons monthly. If "size" is the top reason, improve your size guides; if "damaged", improve packing.
When the customer gives a UPI ID and photos in the return form and everything is recorded against the order, month-end with your CA becomes much simpler.

Frequently asked questions
How long do refunds to UPI or card take?
Refunds back to the original payment through Razorpay typically reach the customer in 5 to 7 working days. Tell customers this in your refund email.
Do I need a credit note for every refund?
If you are GST-registered and a tax invoice was issued, a refund for a return or cancellation usually needs one. Ask your CA which cases apply to you and the time limits.
Can I refuse to refund and give only store credit?
Only if your policy says so clearly before purchase, and even then it may not apply to faulty or wrong items. Offering a choice avoids disputes.
