Seating plans, sound, tea breaks and timings: a checklist for running a half-day session for 30 to 60 people.

Our event hall seats 60 and is booked by members and outside teams for workshops, meetups, training sessions and product launches. It costs ₹6,000 for a half day, which is four hours, with a projector, screen, sound system and two microphones included. Here is a checklist that helps first-time organisers.
Book at least two weeks ahead, longer for Saturdays, which go first. Choose your seating plan at booking. Theatre style, rows facing the screen, fits 60. Classroom style, with tables, fits about 36. Cluster tables for group work fit around 40. We set it up before you arrive, so changing on the day takes time from your four hours.
Come 45 minutes early to test your laptop with the projector. We have HDMI and USB-C adapters, but presentations made in an unusual format or with embedded videos are worth checking first. Wireless microphones need fresh batteries; we change them before each booking, but keep the spare set we leave on the table. If you are recording or streaming, tell us in advance so we can reserve the backup internet line for you.
For tea breaks, our kitchen can serve tea, coffee and biscuits at ₹60 a person, or snacks from a local kitchen at ₹120 to ₹180. Lunch can be arranged from nearby caterers for longer sessions. Attendees can use the second-floor washrooms and the reception sofas during breaks. Wrap up ten minutes before your slot ends, so the next group can start on time. Members get two free hours of the hall each quarter.
